About Us

Founded in 2024, the Mirror Biology Dialogues Fund (MBDF) works to advance and support the global effort to understand and address risks posed by mirror life. We fund and co-organize international conferences, workshops, public seminars, and other initiatives to foster constructive dialogue and decision-making between academic, policy, commercial, and public stakeholders.

We’re a small remote team (currently 10 individuals), located across the US, UK, Canada and The Netherlands. 

The Role

MBDF is a new organization in start-up mode, building out our operations from the ground up. We're looking for an experienced, proactive Operations Coordinator to be the execution engine behind the team: the person who makes sure everything runs smoothly so our senior staff can focus on the strategic, mission-critical work only they can do. You won't just slot into an existing machine. You'll help shape how this team works.

This is a hands-on, detail-intensive role. You'll keep the team's workflows in order, make sure nothing slips through the cracks in Asana, maintain our data in Airtable, turn messy briefs into clean processes, run meeting logistics and notes, support events, and anticipate what the team needs before they ask. You'll take these processes end-to-end and proactively improve them.

It is high-volume work that demands real care with the details: formatting documents, chasing follow-ups, coordinating travel and schedules, keeping trackers current. If you get genuine satisfaction from making a complex operation run smoothly, and you want to do it in service of one of the most important emerging biosecurity challenges in the world, this is your role.

What You’ll Own

Tools & Workflows

You will help the team work more efficiently by strengthening the tools and systems that support the office:

  • Helping the team set up and maintain effective AI skills and workflows
  • Identifying and implementing other tools or processes that make the team more effective

Project & Task Management

As the coordinator for the Operations team, you'll keep critical work moving by having oversight on projects and helping the team focus their time where it matters most by: 

  • Helping triage and prioritize the team’s workload
  • Scoping, planning, and tracking work across multiple concurrent initiatives, keeping tabs on progress and surfacing risks or decisions that need other stakeholders' input
  • Building out project plans, managing action logs, and following up with contributors to ensure nothing falls through the cracks

Communications & Logistics

You will draft a wide range of professional communications on behalf of MBDF:

  • Writing and editing briefing documents, memos, reports, and other materials to a high standard
  • Reviewing outgoing materials for clarity, accuracy, and tone
  • Drafting internal and leadership communications including: team updates, chasing staff for deliverables and other staff-facing notes
  • Providing logistical and coordination support for team meetings, events, and engagements 
  • Preparing presentations, slide decks, and visual materials for team initiatives

Research & Analysis

You will be asked to turn a question or topic into a clear, usable output:

  • Conducting research on topics relevant to MBDF’s strategy, programs, stakeholders, or sector trends
  • Synthesizing findings into crisp briefing notes, one-pagers, or talking points
  • Preparing background materials ahead of meetings, calls, and events
  • Gathering data and drafting analyses or summaries to inform organizational decisions

About You

Must-Haves

  • 3-5 years of professional experience in operations, project coordination, or a similar execution-heavy role
  • Process-oriented mindset: When you complete tasks, you think carefully about how to do them better next time. You build templates, SOPs, and systems that make things repeatable
  • Comfort with project management tools and a knack for designing workflows that make work run smoothly
  • Genuine enthusiasm for hands-on, high-volume, detail-intensive execution work: formatting documents, chasing follow-ups, booking travel, updating trackers. 
  • Familiarity with AI assistants such as Claude 
  • Ability to manage competing priorities across multiple stakeholders without escalating every conflict. You use good judgment to triage, and you communicate proactively when something can’t get done on time
  • Comfort working remotely in a fast-paced, internationally distributed team across multiple time zones

Nice-to-Haves

  • Experience with Asana and Airtable or similar project management, database, and CRM tools
  • Experience in a remote-first, Slack-heavy organization
  • International travel logistics experience (visa applications, complex multi-city itineraries, security-sensitive travel)
  • Event coordination experience (logistics, not content)
  • Impact motivated and mission driven
  • Familiarity or demonstrated interest in with transformative technology, biology, biochemistry, biosecurity, policy, AI, or adjacent fields

Practicalities

  • Location: Remote, US-based candidates are strongly preferred.
  • Working Hours: Full-time (40hrs/week). You must be available to overlap for core working hours of 10am–2pm EST, with the need to be available for additional hours as required.
  • Travel Requirement: This role involves occasional travel (~10%).
  • Compensation: $75,000–$100,000 USD + full benefits; exact offer will reflect experience and fit.
